These notes explain how the initial set up and basic systems work. When you register for an agency we will send the first Administrator an email explaining preliminary procedures and if you have any other queries we are here to help!

To register for an agency

Select ‘Register’ wherever prompted, complete and submit the form. We will normally email confirmation of your agency within a working day.

Your initial set up

When you register, we pre-set the following:

  • your base commissions
  • the products you have access to
  • the Premium Credit facility
  • your first user as an Administrator. This would normally be a senior member of your company
  • a user name and temporary password for the first Administrator

We then send the first Administrator an email explaining how to set their own password and how to set up other Standard or Administrator users.

Setting up Standard or Administrator users – Administrators only

An Administrator is the only person who can set up other users; this is completed via the ‘Manage Users’ menu on the left hand side of the page after logging in.

For each additional user, the Administrator has the option to:

  • allow either Standard or Administrator access
  • set the other users’ passwords or allow for them to set their own

In the future, in order to meet FSA Systems and Controls, it may be that all agents will have to abide by standard password security protocols, including changing passwords every 30 days. In the meantime, you have 2 options:

  • you can manually assign a password of your choice. This is useful if you want to manage all the passwords and keep a central log, but please note that the system does periodically prompt users to change their passwords
  • you can select ‘Auto Generate Password’. In this case, we assign a random password and send this to the user by email. On their first access to the system they will be prompted to change this to their own password

Permissions

Once set up, all users will be able to run through quotes and re-quotes, incept policies and process mid-term adjustments.

In addition, Administrators will be able to:

  • add new users and block existing users (users cannot be deleted)
  • manage the work flow of other users
  • if granted by the insurer, adjust account items
  • download renewals

Q. An Administrator cannot add a new user?

A. Please contact us to check that your Administrator status is correctly set up

Q. A Standard user cannot access a certain function?

A. They should refer to an Administrator to check their permissions

Q. A user has forgotten their password?

A. An Administrator can access ‘Manage Users’ and select the ‘Change Password’ option for the User

Quotations

The quote process is very speedy. Once completed, quotes can be saved if the customer is not buying immediately and this will retain all the data.

Referred quotes

If there are any reasons for the quote to be referred, you will receive a message at the end:

  • click the submit button; this will automatically save the data in Manage Quotes/Referred Quotes and email the details to us for consideration
  • we will underwrite the risk and respond, by email, normally within 24 hours (working days), to confirm terms or decline the quote.
  • the quote then moves into the Manage Quotes/Unreferred Quotes section
  • you can accept or NTU the quote. Whatever the outcome, the quote details remain on your system for further use

Please always use the refer process when you receive the ‘refer’ message, even if for any reason you do not want to proceed with the quote. This will help us to monitor system accuracy and our products, to ensure we continue to satisfy your ongoing needs.

Q. how long is a quotation valid for?

A. 60 days from the date the quote is given

Q. is there a policy administration charge?

A. There are NO policy fees for business transacted through www.kdibonline.co.uk

Q. is there a minimum premium for adjustments?

A. We will not normally process additional and return premiums for less than £10

Q. do you have a direct debit facility?

A. Direct debit is available through Premium Credit and the instructions can be completed online. There is no deposit; the service charge of 11% (minimum £10) is added to the premium and collected in 12 monthly instalments.

Documentation issue

The kdibonline proposition is to offer a solution which is virtually paperless. All documents can be printed from the web site and can also be emailed to customers if preferred

The manage quotes facility

The Manage Quotes function has been designed to be as user-friendly as possible, and to give you an effective follow-up facility. Through it you can view all quotes given and use the data to monitor individual user’s activity, you can store quotes for analysis and to ‘chase’ at a later date. And, because it is internet driven, you can obviously access the information from any PC, anywhere in the world, any time of day.
